What Is a Room Block?

A room block is a set of hotel rooms reserved for one group or event, often 10 or more, usually at a negotiated group rate and with a cut-off date (Event Industry Glossary - 200+ Meeting & Event Terms & Definitions (MPI)). The hotel sets the rooms aside, and each attendee books and pays for their own (How to Reserve a Hotel Room Block for Your Wedding (The Knot)).

How a hotel room block works

In event contracts, a block is the total number of sleeping rooms reserved for an event, or the number of rooms reserved in advance for a group (APEX Contracts Accepted Practices (Events Industry Council)).

In a property management system such as Oracle's OPERA Cloud, a block holds rooms across one or more room types for a date range without a named guest on each room. The hotel can set it to deduct those rooms from inventory or to leave inventory untouched. Named reservations made closer to arrival then draw from the block instead of from house availability, picked up from a group rooming list, a website booking engine or another reservation system (Blocks (Oracle OPERA Cloud User Guide, Release 26.2)).

At Hotel Covington in Covington, Kentucky, rooms in a group block that are still unreserved at the cut-off date go back to general inventory for public sale, and the group rate is not guaranteed after that date (Room Block Inquiry (Hotel Covington)).

Size rules differ by company. Marriott treats a booking of 10 or more rooms as a group request; groups of 10 to 25 rooms can book online, and larger groups go through its national group sales department (How Do I Make a Reservation for 10 or More Rooms? (Marriott Help)). Hilton lets groups book and confirm up to 25 rooms online, with larger requests handled by the hotel or through a pricing request (Find the Best Hotel Group Rates and Book Room Blocks (Hilton)).

Why a room block matters for hotel distribution

Guests can still book the same hotel outside the block, and one expert quoted by Northstar Meetings Group calls the hotel itself the biggest competitor to filling a room block (How Meeting Planners Can Negotiate With Hotels in a Seller's Market (Northstar Meetings Group)).

Attendees can also be pulled away by third parties, a practice known as room block "poaching": businesses that try to steer event attendees away from official room blocks and into other hotel bookings, which the Events Industry Council's APEX formed a workgroup to address (History (Events Industry Council)).

How full the block must get is written into the contract. Meeting groups once aimed to fill about 80 percent of a block to avoid attrition charges; in a seller's market, 90 percent is often required (How Meeting Planners Can Negotiate With Hotels in a Seller's Market (Northstar Meetings Group)).

For the hotel, this makes a block a forecast as much as a reservation.

Frequently asked questions

What is a room block at a hotel?
It is a group of rooms a hotel sets aside for an event, such as a wedding or a meeting, at a group rate agreed in advance. The people attending then book and pay for their own rooms from that block. In the meetings industry's contract standard, the block is the total number of sleeping rooms reserved for the event.
What is a courtesy room block?
A courtesy block holds rooms for a group with no financial obligation for the organiser. A contracted block, also called an attrition block, is different. It often sets a minimum number of rooms that must be booked, and the organiser may have to pay for the rooms that go unused.
How does a room block work for a wedding?
The couple asks the hotel to hold rooms at a group rate, and guests book and pay for their own stays. Some hotels ask for a nonrefundable deposit to create the block, and some require at least 10 to 15 rooms a night. A cut-off about 30 days before check-in is typical for US weddings.
Do you have to pay for a room block?
Guests normally pay for their own rooms. What the organiser owes depends on the block type: a courtesy block carries no obligation, while a contracted block can bill the organiser for unused rooms. The contract sets how much.
How many rooms do you need for a room block?
There is no single rule. In the meetings industry, a room block is often 10 rooms or more. Some hotels ask for at least 10 to 15 rooms a night before they will hold a block for a wedding. Large hotel chains also set their own limits on how many rooms a group can book online before their sales team takes over.

Where Jetstream fits

A block that deducts from inventory can change what a hotel can sell twice: when the rooms are held, and again when unbooked rooms are released. Jetstream builds an AI channel manager that connects a property's systems to the channels where guests book, and keeps rooms, rates and availability accurate on each one, managed from one place.
