What Is a Group Booking?
A group booking is a reservation of many hotel rooms for one party travelling or meeting together, at a group rate agreed well before arrival, usually through bidding or negotiation with the hotel's sales team (Is There an Optimal Price for Group Rates? (Boston Hospitality Review)). Size rules vary by hotel: Premier Inn counts ten rooms or more as a group, and says the number can change with the size of each hotel (Premier Inn Group Bookings schedule of terms & conditions).

How a group booking works
The same chain's group contracts run on 180, 90, 45 or 28 day terms. The longer terms split payment in two, the shorter ones take it in full. Each contract becomes fully chargeable from that point and needs a rooming list 14 days before arrival (Premier Inn Group Bookings schedule of terms & conditions). Its groups may release up to 10% of the contracted rooms free of charge with at least 14 days' notice, and any larger or later cut is treated as a cancellation (Premier Inn Group Bookings schedule of terms & conditions).
The rooms a hotel holds for the group form a room block, and that entry covers how rooms are picked up and released at the cut-off date.
In June 2021, Hilton and Groups360 announced that GroupSync, Groups360's online booking tool, would be built into Hilton's central reservation system and start rolling out that month. It would let planners see real-time availability and book room blocks for small groups at 5,000 hotels (Groups360 Launches Group Booking Solution with Hilton (Stories From Hilton)).
Short-term rentals see groups too. Airbnb said 15.5 million groups took trips on Airbnb in the year before November 2017, with an average stay of 3.5 nights (Airbnb Makes Group Travel Easy with Global Launch of Split Payments (Airbnb Newsroom)). With the split payments feature it launched that month, the organizer pays only their share and can hold the reservation for up to 72 hours while the others pay, with the host's calendar blocked in the meantime (Airbnb Makes Group Travel Easy with Global Launch of Split Payments (Airbnb Newsroom)).
Why group bookings matter for hotel distribution
Too much group business can dilute revenue by displacing higher-paying transient guests (Is There an Optimal Price for Group Rates? (Boston Hospitality Review)). Rooms are perishable, though, so hotels also need groups to limit unsold rooms, and groups bring banquet, catering and audiovisual rental revenue (Is There an Optimal Price for Group Rates? (Boston Hospitality Review)). The value of a group is usually easy to estimate, because the rate, group size and length of stay are agreed in advance, while transient demand has to be forecast. A displacement analysis weighs that value (rooms times the ADR minus room cost, plus additional revenue, minus related expenses) against what transient bookings and walk-ins could earn over the same dates (How to conduct an effective hotel displacement analysis (Hospitality Net)).
Group demand is still growing. US hotel group demand rose 2.4% year over year through June 2026, reaching 129 million room nights (CoStar data) (20 Stats Every Hotel Group Sales Team Should Know to Prepare for 2027 (Hotel Online)). Planning time is shrinking: in the US, traditional 60-, 45- and 30-day group booking windows have in some cases shortened to two or three weeks (CoStar/STR forecast, Q3 2026) (20 Stats Every Hotel Group Sales Team Should Know to Prepare for 2027 (Hotel Online)).
Groups also need their own data between systems. In the OpenTravel standard, the OTA_HotelInvBlockNotifRQ message sends, modifies or cancels inventory blocks, for a single hotel or for several (OTA Model Viewer, OTA_HotelInvBlockNotifRQ (Pilotfish Technology)).
Some groups never contact a sales team at all. The UK chain mentioned above may treat 5 or more rooms booked online by the same party for the same nights as one group booking under its group terms (FAQs, Group bookings (Premier Inn)).
Group booking compared with transient and multi-room bookings
| Group booking | Transient booking | Multi-room booking | |
|---|---|---|---|
| Who books | One party, for many rooms, through a group request | An individual guest or party | One guest, for several rooms on the same dates in one reservation |
| Price and terms | Set with a long lead time through bidding or negotiation, then hard to change | Public rate that can change with demand | One UK chain may apply its group terms to 5 or more rooms booked online for the same nights |
| When and where it is booked | Early, well before arrival | Usually later than groups | Online, for the same dates, in one reservation |
