What Is a Booking Window?
A booking window is the number of days between the date a guest makes a reservation and the date they check in. The same measure is also called booking lead time. The term can also mean a calendar setting that limits how far ahead guests are allowed to book (Booking lead time meaning, AirDNA Glossary) (Choose how far in advance guests can book your home, Airbnb Help Center).

How a booking window works
To measure a booking window, subtract the booking date from the arrival date (Booking lead time meaning, AirDNA Glossary). A reservation made on 1 March for a 31 March check-in has a booking window of 30 days.
The figure is usually reported as an average or a median across many bookings. In its annual report, Booking Holdings, the group behind Booking.com, Priceline and Agoda, measures its booking window as the average time between the booking of a travel reservation and the start of travel (Booking Holdings Form 10-K, fiscal year 2025). A single average hides the variance between segments, and that variance is what drives real pricing decisions (Hotel booking window: how lead time data can sharpen your pricing, Mews). Large conventions, for example, book further ahead than small group meetings (Hotel Owner-Operators Say Shorter Booking Windows Frustrate Revenue Management, Staffing Plans, CoStar News).
The second meaning is a setting: the furthest date ahead that a property lets guests book (Choose how far in advance guests can book your home, Airbnb Help Center). A short setting therefore puts a ceiling on the measured booking window.
Why the booking window matters for hotel distribution
The booking window shapes how a stay date fills over time, which changes how forecasts should be read. When windows are short, occupancy on the books catches up late. In the Top 25 US markets, the week ending 28 June 2025 was running about 1 percentage point behind the prior year as of 12 May, and by mid-June it was more than 1% ahead (Fourth of July hotel booking expectations, CoStar). Long windows carry the opposite risk. US short-term rental stays for January to July 2026 were pacing 8.4% ahead of 2025 at 180 days out but finished just 1.3% ahead (Booking Lead Times 2026: Why Pacing Overstates Demand, AirDNA).
Short windows also strain operations. US hotel owner-operators said in 2023 that when much of the business books "in the week for the week" with no group base, a hotel is hard to staff and revenue-manage, and that short windows bring last-minute cancellations that are rarely refilled on short notice (Hotel Owner-Operators Say Shorter Booking Windows Frustrate Revenue Management, Staffing Plans, CoStar News).
Channels and ad platforms use the booking window directly. Google lets hotel advertisers raise or lower bids by advance booking window, meaning how far ahead the traveller wants to book, up to 330 days and with at most 10 adjustments (About bid adjustments for hotel booking links and travel promotion ads, Google Ads Help). In Google's ads API, that window is set in days before the stay (HotelAdvanceBookingWindowInfo, Google Ads API reference (v25)). At Booking Holdings, the window sets the gap between gross bookings, recognised when a guest books, and revenue, recognised at check-in (Booking Holdings Form 10-K, fiscal year 2025).
Which way windows are moving depends on the segment, so every figure needs its scope. US hotel booking windows shortened in mid-2025, largely because of economic uncertainty, in STR's forward data (Fourth of July hotel booking expectations, CoStar). Before Austin's 2025 Formula 1 race, hotel bookings made more than 180 days out fell 8.1 percentage points against 2024, while bookings made 30 to 59 days out rose 8.8 points (Hotel booking windows shortened ahead of Austin's F1 Grand Prix, Hotel Dive). The booking window at Booking Holdings, by contrast, was generally longer in 2025 than in 2024 (Booking Holdings Form 10-K, fiscal year 2025). Airbnb saw a continued lengthening of lead times in Q4 2025 (Airbnb Q4 2025 Shareholder Letter). In US short-term rentals, the share of bookings made within six days of check-in fell 0.5 percentage points in 2026 (Booking Lead Times 2026: Why Pacing Overstates Demand, AirDNA).

Whatever the window, a guest can only book the dates a channel shows as open, at the rates loaded there. Short windows leave little time to correct a mistake, and long windows need dates months ahead to be open and right on every channel.
