What Is a Property Management System (PMS)?

A property management system, or PMS, is the software a hotel or rental business uses to run its daily operations. It holds reservations, room availability and guest profiles, and it handles check-in, checkout, housekeeping status and reporting from one central place. Some vendors call it a hotel operating system.

How a property management system works

A PMS is the property's record of who is staying, in which room and on which nights. The software supports the day-to-day running of hotels and other places to stay, and it gives staff one central system to organize, schedule and carry out the property's daily work (TechTarget).

At a hotel the core jobs start with bookings. Each new reservation updates availability and occupancy. The front desk uses the PMS to check guests in and out and to assign rooms. When a guest leaves, the room is marked for cleaning, so housekeeping and the front desk see the same status. The PMS also links to key cards for door access and to the telephone system (TechTarget).

Every reservation lives in the PMS, whether it came from a direct booking, an OTA or a walk-in, and the system tracks room availability in real time. Front desk staff use its guest profiles to see stay history, preferences and folio details, and most hotel PMSs include reports on occupancy, ADR and RevPAR (Hotel Tech Report). A PMS also acts as the hub for the hotel's other systems: point-of-sale systems post restaurant, bar or spa charges straight to the guest's room folio, and revenue management systems connect to it, using occupancy and booking data to adjust rates as demand changes (Mews).

Vacation rental software follows the same idea with a different task list. A rental PMS helps hosts organize and streamline their daily operations, connects to Airbnb and Vrbo, and is often cloud-based (Hostaway).

Why it matters for hotel distribution

A central reservation system (CRS) manages room inventory, rates and reservations from one place and sends them in real time to booking channels, including OTAs, the GDS, the hotel's own website and call centres. When a guest books through an OTA or a travel agent, the reservation reaches the CRS first, and the CRS passes it to the PMS for the operational side of the stay (SiteMinder). The CRS usually takes its inventory from the PMS. Smaller hotels may skip a separate CRS and use an all-in-one system with a light CRS built in (Hotel Tech Report). The PMS is one part of a wider hotel tech stack, and distribution depends on how well it talks to the rest.

When the PMS is connected to the channels, a booking made on an OTA updates the PMS by itself, so the front desk can check the guest in without typing the reservation in again. When that link is slow or weak, rate and inventory changes reach the OTAs late. Channels then sell rooms that are already gone, and rooms that are free can go unsold (SiteMinder). Rental software splits the work the same way: the channel manager sells the stay, and the PMS handles everything after the booking is confirmed (Guesty).

Frequently asked questions

What is a property management system (PMS)?
A property management system is the software a hotel, resort or vacation rental business uses to run its daily operations. It keeps reservations, room availability and guest profiles in one place, and staff use it for check-in, checkout, room assignment, housekeeping status and reporting. In the hotel industry the term is sometimes used interchangeably with hotel operating system, or hotel OS.
What does a property management system do?
At a hotel, a PMS takes bookings and updates availability and occupancy, checks guests in and out, assigns rooms, and marks rooms for cleaning. It also links to the point-of-sale and telephone systems, key cards for door access, and reporting on figures such as occupancy and sales. A vacation rental PMS adds guest messaging, cleaning tasks, payments, deposits and owner reporting.
What is the importance of a property management system?
A property management system gives a property one central record of reservations, rooms and guests, so the front desk and housekeeping see the same room status. Staff use it to organize, schedule and carry out the property's daily work from one system. For distribution, a connected PMS takes OTA bookings in without retyping, while a slow or weak link lets channels sell rooms that are already gone.
What are the types of property management system?
The two main categories are cloud-based and on-premises. An on-premises PMS is installed locally on a computer or server. A cloud PMS is hosted online and delivered as software as a service. Vacation rental PMSs are designed to connect with platforms like Airbnb and Vrbo.
What is a cloud-based property management system?
A cloud-based PMS is delivered as software as a service over the internet, so the property does not buy, house or maintain its own servers. This saves the cost of on-premises servers and of the expertise to run them. A cloud PMS can also bring sales, forecasting, occupancy and pricing data from several properties into one place, which suits groups and chains.
What property management system does Marriott use?
In January 2024 Marriott International selected Oracle Hospitality OPERA Cloud as the cloud property management system for its luxury, premium, select-service and midscale hotels, together with OPERA Cloud Sales and Event Management. IHG takes a different approach: in January 2026 it added OPERA Cloud to its list of approved property management systems that franchisees choose from.

Where Jetstream fits

The PMS records each booking, and the channels bring those bookings in. Every channel needs the same rooms, rates and availability the PMS holds, kept current as they change. Jetstream builds an AI channel manager that connects a property's systems to the channels where guests book and keeps inventory accurate on each one, managed from one place.
