What Is Double Booking?

A double booking happens when two guests hold confirmed reservations for the same room on the same night. It is an accident, most often caused by availability that did not update on every sales channel in time or by a calendar set up wrongly, and the property has to rehouse one of the guests.

How double booking works

A double booking is "when more than one reservation is made for the same room or unit on the same night" (Booking.com Partner Hub). The usual causes are availability that is not synced across channels, or a calendar and policies that are not set up accurately (Booking.com Partner Hub).

The sync cause is easiest to picture. A property that sells on several channels has one stock of rooms and several shop windows. When a guest books the last room on one channel, every other channel has to close that night before a second guest takes it. Any delay leaves a window open.

How long that window stays open depends on the connection. Airbnb's imported iCal calendars update automatically every 3 hours, and manual refreshes are limited. Airbnb also warns that nights blocked on another calendar "may or may not be blocked on Airbnb," and that preparation-time or advance-notice settings may not carry over (Airbnb Help Center). Vrbo says imported calendars sync every 30 minutes in its mobile app (Vrbo Help). A booking that lands on a second channel inside that gap becomes a double booking.

Manual work adds risk too. Booking.com says overbookings can come from differences between the property management system and the Extranet, and that calendar sync or a connectivity partner reduces manual work (Booking.com Partner Hub).

Why it matters for hotel distribution

The cost lands on the property. Booking.com sets out its rules for a double booking, in effect its double booking policy, in its partner guide. The property should move the guest to a room or unit of the same or better standard if it can. If no other room is available, the property must find the guest accommodation elsewhere of the same or better standard and cover the price of the new accommodation, and it may also have to pay to move the guest. Organizing transport to the new accommodation is a good idea too, or the property might have to reimburse it later (Booking.com Partner Hub).

On commission, Booking.com says: "We won't charge you commission for a double-booking if:"

  • "Your property has been on our platform for fewer than 30 days"
  • "You haven't had more than four double-bookings in 12 months"

"If this isn't the case, you'll be charged for the reservation" (Booking.com Partner Hub).

Speed counts too. Booking.com asks partners to contact Customer Service as soon as they notice the issue (Booking.com Partner Hub).

Airbnb lists double booking as an example of when a host can be found responsible for a cancellation. Host cancellation fees have a $50 USD minimum and run from 10% to 50% of the reservation amount, depending on how close to check-in the host cancels (Airbnb Help Center). The host also gets no payout for the cancelled reservation, the calendar is blocked for those dates, and the listing or account may be suspended or removed. Superhost status can go as well (Airbnb Help Center).

Every channel a property adds brings more reach and one more calendar that has to close the moment a room sells.

Overbooking is the deliberate one: hotels "can protect themselves against revenue loss from no-shows by overbooking," and a sound overbooking strategy rests on no-show and cancellation forecasts (Cornell University, eCornell). Booking.com uses "overbooking" and "double-booking" only for the accidental error and gives one set of relocation, cost and commission rules for it. Its guide does not cover overbooking as a deliberate strategy (Booking.com Partner Hub).

The way a property connects to a channel shapes the risk.

Connected software has a gap to close as well. Booking.com holds new reservations in a queue for the software to retrieve, and its Reservations API is built so the software can confirm each booking and "update all copies of your inventory, to avoid overbooking." A reservation the software has not retrieved within 30 minutes is emailed to the property instead (Booking.com Connectivity documentation).

Frequently asked questions

What is double booking in a hotel?
A hotel double booking happens when the same room is sold to two guests for the same night. Booking.com says it happens "when more than one reservation is made for the same room or unit on the same night." It usually comes from availability that did not sync across channels, a calendar and policies not set up accurately, or a property management system and extranet that disagree. One of the two guests then has to be moved.
How do you handle a hotel double booking?
Work through it in order. Contact the channel's partner support as soon as you notice; on Booking.com, Customer Service can mark the reservation as a double booking. Move the guest if another room is free. Then check whether the PMS and the extranet or channel manager disagree on reserved rooms, and fix the mapping or sync that caused the gap.
How do you avoid double booking on Airbnb and Vrbo?
Shrink the time between a sale and every other calendar closing. Airbnb's imported iCal calendars refresh every 3 hours, and Vrbo's app syncs imported calendars every 30 minutes, so a second guest can book inside that window. Check that blocked nights, preparation time and advance-notice settings carried over, because Airbnb says they may not. A two-way channel manager connection sends each change directly instead of waiting for an import.
What is Airbnb's double booking policy?
Airbnb lists double booking as an example of when a host can be found responsible for a cancellation. The fee is at least $50 USD: 50% of the reservation amount for nights not stayed if the host cancels 48 hours or less before check-in or after check-in, 25% between 48 hours and 30 days out, and 10% beyond 30 days. The host also loses the payout and can lose Superhost status.
How is double booking different from overbooking?
Double booking is an accident: the same room is sold twice because a calendar or channel did not update in time. Overbooking is usually deliberate. Hotels confirm more reservations than they have rooms to protect revenue against no-shows, a practice taught in Cornell University's hotel revenue management courses. Booking.com uses both words for the accidental error only, so check which meaning a channel's rules use.
Can a channel manager cause a double booking?
Yes. Booking.com says double bookings with a channel manager "can also come from connection issues, missing mappings, or differences between your property management system and the Extranet." It advises using the channel manager as the main place for availability and prices, avoiding edits to the same fields in both systems, and checking that all rooms, units and rates are mapped correctly.

Where Jetstream fits

A double booking starts when one channel sells a room and another channel has not heard yet. Jetstream builds an AI channel manager that connects a property's reservation system to the channels where guests book and keeps rooms, rates and availability accurate on each one, managed from one place.
